The Problem

The client received very short notice from management to expand operations across Southeast Asia to support rapid business growth. Within 1–2 months, they needed to:

  • Mobilise local teams in Singapore, Thailand, Indonesia, and Taiwan
  • Set up a new entity in Malaysia
  • Transfer a group of local employees into the new Malaysian entity
  • Establish local payroll operations across each market, including statutory registrations, payroll policies, payroll systems, and processes

Projects of this scale typically require at least 6 months of planning, but the client had only 1–2 months, across five countries simultaneously.

Our Solutions

We aligned quickly on requirements and timelines, and flexibly supported urgent “last-minute” changes. Our team built a tight execution plan across all five countries, including:

  • Registration with relevant statutory bodies
  • Set-up of payroll policies, systems, and end-to-end processes
  • Migration of employee profiles into new payroll systems
  • Close coordination with the client’s internal teams to meet the implementation deadlines

Results

  • Migrated 200+ employee profiles and payroll/HR policies from the client’s existing Malaysian entity to a new Malaysian entity within 1 month (Dec 2024 – Jan 2025), during peak payroll transition season
  • Successfully implemented payroll systems and processes in Singapore, Thailand, Indonesia, and Taiwan within 2 months
  • Ensured on-time salary payments across all locations with no major disruptions
  • Client achieved a smooth regional launch and expressed strong satisfaction with the outcomes achieved by the BSO team
